What does a Virtual Assistant do?

A Virtual Assistant can help you with a wide range of admin, finance and marketing tasks to enable you to run your business more smoothly, have more time with your clients and achieve more than you ever thought possible. So, let’s have a comprehensive look at all the different tasks that me and my VA team can handle for you.

Business Development Activities

  1. Brainstorming – this can be especially helpful for a sole trader business owner who doesn’t have anyone to discuss business topics with.
  2. Be a sounding board – sometimes you need another person to bounce ideas off, to help you make better decisions and to make you think a little harder about your direction.
  3. Identify process improvements – a VA is best placed to notice when a process isn’t running smoothly and can offer suggestions for improvements.
  4. Suggest improved systems utilisation – many VAs are technically highly literate and can spot opportunities to make better use of existing software and systems.

  3.  Creating company presentations – set up a master template for presentations and have your VA pull together the content for you to check and sign off.

  2.  Schedule calls and appointments – this can be very time consuming so it’s a good idea to have a VA take this on.
  3.  Confirm appointments so you don’t waste time going to a meeting only to find the other person hasn’t turned up.
  4.  Reschedule calls and appointments – sometimes you just need to make changes, your VA can handle this for you.
  5.  Inform others when you are unavailable – your VA can act as a gatekeeper when you need to get some head down time.
  6.  Manage your phone calls – your VA can screen your calls, respond to voicemails and make sure you don’t miss any vitals calls when you are busy in meetings.
  7.  Research flights and accommodation – your VA can book, change and cancel your travel plans or be the liaison with your outsourced travel agent saving you hours of time each year.
  8. Book travel plans – give your VA a company credit card and let them handle the booking of flights, hotels and ground transportation.
  9.  Travel incidentals – have your VA handle any passport renewals, VISA applications, travel insurance etc.
  10. Event management – VAs are generally great at event planning, from everything to a simple team night out to a huge conference, get your VA involved.
  11. Password management – a full-time job in itself – let your VA manage all your passwords in one place so you’ll never be locked out.
  12. Take notes in meetings/webinars – it’s hard to be fully focused on what’s being said if you are also taking notes at the same time – a job for your VA.
  13. File management – your VA can set up an easy to use online filing system so you can always find what you are looking for.

What else does a Virtual Assistant Do?

Some Virtual Assistants will help business owners with personal errands as well as business tasks. This could range from making personal restaurant reservations, booking theatre tickets, researching gifts or scheduling appointments to help the owner’s life run more smoothly. Not all VAs will offer this service, so make sure to ask if you are after someone who will handle your personal stuff.
